Apollo.io Review – Is It The Right Platform For Your Business in 2025?

30-Second Summary

Apollo.io has strong multichannel sequencing, workflow, and enrichment capabilities.

The accuracy of contact details of prospects from the USA is high (~88%).

But, outside the USA the accuracy dropped to as low as 60%. Moreover, Apollo.io also has limitations in scaling cold email campaigns and deliverability features.

If you’re looking for globally accurate contact databases with stronger scalability and deliverability, these alternatives make more sense:

  1. Saleshandy
  2. Klenty
  3. ZoomInfo

Apollo.io calls itself an outbound engine.

It helps you find prospects, enrich data, personalize outreach, run multichannel campaigns, and manage and close deals — all in one place.

Well, it sounds like the kind of tool every outbound team would want. But is it actually worth the cost, and does it perform as promised?

I tested the platform for 5 months, and this blog is my experience with Apollo.

In this detailed review of Apollo.io, I will:

  • Break down every key feature Apollo.io offers
  • Highlight my own observations on usability, pricing, and data quality
  • Share what genuine users have to say about it
  • And finally, list strong alternatives you can consider for your exact use case

So, keep reading to find out if Apollo is actually the right tool for you!

TL;DR: Is Apollo.io Worth Paying for in 2025?

I’ll quickly cover who Apollo is ideal for, its strengths and weaknesses, and the best alternatives to consider.

Who is Apollo Ideal For?

Apollo.io mainly fits 2 types of users:

  1. Those who want Apollo.io solely for prospecting and list building.
  2. Those who want a single platform to manage their complete outbound lead generation from finding leads to closing them.

What Are Apollo.io’s Strengths

  • Large database with over 210M total global contacts and 35M+ global companies.
  • 60+ filters to help you narrow down your search and find relevant people for outreach.
  • You reach out to your target audience with multichannel sequences using cold emails, LinkedIn outreach, and calls.
  • Apollo.io easily integrates with popular CRM platforms like Pipedrive, Salesforce, HubSpot, and more tools.

What Are Apollo.io’s Weaknesses

  • Apollo.io has a steep learning curve if you want to make most ..
  • The credit system is not clear, and Apollo does not offer truly unlimited plans.
  • The accuracy of contact data is quite poor, especially for the EMEA region.
  • Cold email campaigns are hard to scale and often face deliverability issues.

Better Alternatives to Apollo.io

  1. Saleshandy – The overall best alternative to Apollo.io for prospecting and cold outreach with a large and accurate database of 700M+ contacts from 60M+ companies.
  2. Klenty – Good option for multichannel sales engagement. It’s also useful if you want to fully automate your entire outbound process.
  3. ZoomInfo – Ideal alternative for enterprises needing deeper company and prospect insights, along with both outbound capabilities.

Detailed Review of Apollo.io’s Key Features

In this section, I will share my hands-on experience with each major feature of Apollo.io.

  1. Lead Database and Other Prospecting Capabilities
  2. Enrichment
  3. Sales Sequence (Multichannel)
  4. Meetings and Conversation Insights
  5. Deal Management
  6. Workflows
  7. Analytics
  8. Integrations

1. Lead Database and Other Prospecting Capabilities

Apollo.io has a fairly large database with over 210M contacts and 35M+ companies worldwide.

Here’s what that looks like in detail:

  • 128M business and personal emails
  • 144M direct and mobile numbers
  • 146M international contacts (outside the US)
  • 25M international companies (outside the US)

You also get 60+ filters to narrow down your search and build highly targeted lists for your outreach campaigns.

The best part is you can automate the list-building process by creating workflows that run automatically based on set criteria, so you can skip the manual work and keep your lists up to date.

However, the accuracy of contact data is where Apollo.io struggled!

In the US, contact details were fairly accurate, matching about 80–88 percent.

Whereas outside the US, accuracy dropped to roughly 60–73 percent depending on the region.

In addition to this, any unused credits will expire at the end of the billing cycle.

My Verdict

Apollo.io is a good option if you’re looking for a US-focused database with powerful filters and automation to build and manage prospect lists.

But if you want global accuracy and don’t want your unused credits to go to waste, you should look at other alternatives to Apollo.io.

My rating for Apollo’s prospecting capabilities is 6/10!

2. Enrichment

Apollo’s enrichment feature is very useful for keeping your prospect list updated.

It fills in missing email addresses and tells you when someone changes jobs.

There are two ways to use it:

  1. CRM Enrichment
  2. CSV Enrichment

In CRM Enrichment, you can connect either HubSpot or Salesforce. This is quite a drawback, so make sure you use one of these CRMs before relying on this feature.

But if you do use one of these CRMs, you can automate the entire enrichment process through workflows.

But here again, you will have to deal with the same accuracy issues!

My Verdict

Apollo’s enrichment feature is quite helpful for keeping prospect data fresh and updated.

However, it has limited CRM support, and the same accuracy issues present in the main database also affect its overall reliability.

My rating for this feature is 6/10!

3. Sequence (Multichannel)

The next main feature of Apollo.io is the Sequence.

You create multi-touchpoint outreach campaigns that include:

  1. Automated Emails
  2. Manual Emails
  3. Phone Calls
  4. Manual Actions
  5. LinkedIn
    • Send connection request
    • Send message
    • View profile
    • Interact with post

The best part is you can use AI assistance to quickly create tailored sequences based on customer pain points, value propositions, calls-to-action, and more.

You can also use AI to personalize your emails individually.

What’s more, you can directly add meeting links in your emails.

Apollo.io will track and share insights (I will share more about this in the next section)

All this said, I did find a few limitations:

  1. Apollo.io has fewer deliverability features, and even users on review sites like G2 report deliverability issues.
  2. You have to manually turn on the inbox rotation feature, which is critical for protecting sender reputation and ensuring deliverability. Plus, it is not easily accessible.
  3. Scaling your cold emailing campaigns comes at a high cost, as the number of email addresses you can connect is restricted.

My Verdict

Apollo.io’s capabilities are quite limited when it comes to cold emailing and deliverability. But if multichannel is your goal, then it delivers as promised.

My rating is 8/10

4. Meetings and Conversation Insights

This feature is designed to help you maximize the benefits of your video meetings and calls with your leads.

Apollo integrates directly with conferencing apps like Google Meet, Zoom, and Microsoft Teams to:

  • Record meetings and generate transcripts automatically.
  • Provide AI-generated summaries that highlight key points and action items.
  • Show conversation metrics such as talk time, objections, and follow-ups to help your team sell more effectively.

These features also work with Apollo’s Dialer, so you get the same useful insights for your phone conversations as well.

My Verdict

This feature helps you understand every meeting and call better with the power of AI.

It’s very useful for teams that rely on virtual meetings and phone calls to engage prospects.

My rating 9/10

5. Deal Management

As you start reaching out to prospects, you’ll quickly have opportunities at different stages of your sales process.

This is where Apollo’s Deal Management feature comes in!

It helped me visualize and track each opportunity in my pipeline, making it easier to see where every deal stood and what actions were needed next.

The best part is that you can automate deal creation and movement across the stages of your pipeline.

My Verdict

A very useful feature, especially if you plan to use Apollo.io as your main platform for managing prospects and deals.

My rating 9/10

6. Workflows

The best part about Apollo.io is that you can automate almost your entire outbound lead generation process.

You can create automated workflows to find prospects based on specific criteria and push them into targeted sequences to engage with them.

At this time, deals are automatically created for those accounts, and as you progress to setting a meeting or call, the pipeline is automatically updated.

All this time, new relevant prospects are being found and added to your pipeline automatically, so your outreach never stops.

This is just one workflow that I manually created.

You can build your own workflows or choose from the many ready-made templates that Apollo.io provides.

My Verdict

I found the workflow automation feature very helpful! It improved my team’s efficiency by 2X.

Yes, there was some manual intervention needed, but it drastically reduced repetitive tasks and kept our pipeline moving without constant oversight.

My rating 9/10

7. Analytics

This feature gives you an overall view of how your outreach and sales efforts are performing inside Apollo.io.

You can either custom-create reports or use the existing templates, such as:

  • Email Engagement Performance
  • Sales Development Activity
  • Call Engagement Performance
  • and more

My Verdict

This is again a very helpful feature if you’re using Apollo.io for managing your outbound lead generation.

It helped me quickly see what was working, where prospects were dropping off, and how my team’s activities translated into results.

My Rating: 9/10

8. Integrations

Although you can do pretty much everything inside Apollo.io, you also get native integrations with a wide range of external tools.

Some of the tools are:

  • CRMs
  • Marketing automation platforms
  • Sales intelligence tools
  • Conferencing apps
  • And more

This will help you sync data, avoid double work, and keep your entire sales stack connected.

My Verdict

The integrations will make it easy for you and your team to keep your data updated through your tech stack.

My rating 9/10

With this, I’ve covered all the major features of Apollo.io. In the next sections, I’ll break down the pricing, pros and cons, and more, so keep reading!

Apollo combines enrichment and outreach in one tool… Sequences are easy to set up and integration with HubSpot is native, which helps us save a lot of time.

What do you dislike about Apollo.io?

Database is updated regularly but data accuracy can vary in certain regions and there is a daily limit on sending emails which can feel restrictive.

Who Is Apollo.io Best Suited for?

After testing Apollo.io extensively and taking into account the pricing plans and features, here’s who I think it’s best suited for:

  • Teams focused on prospecting and list building — if you mainly want to find and enrich contacts, the Basic plan works well.
  • Teams looking for an all-in-one outbound platform — if you want to find leads, run multichannel campaigns, and manage deals in one place, the Professional or Organization plan is the better fit.

If your main priority is global data accuracy or large-scale cold emailing, it’s worth comparing Apollo.io with some of the alternatives I’ve listed in the next section.

What Are the Best Alternatives to Apollo.io in 2025?

Apollo.io is definitely not the right tool for everyone.

It has its limitations. If those limits don’t fit your use case, here are some strong alternatives you can consider:

  1. Saleshandy
  2. Klenty
  3. ZoomInfo

1. Saleshandy

If you want an Apollo alternative that has a globally accurate database with strong AI-powered cold email automation capabilities, Saleshandy is a great choice.

  • Database Size: 700M+ Professional Contacts from 60M+ companies globally
  • Compliance: GDPR, ISO27001, SOC II

You can use the various advanced filters to narrow down and find even the most niche prospects for your campaigns.

What’s more, you can use the AI Lead Search feature to give text-based prompts, and Saleshandy will instantly return a curated list of matching prospects.

For Example: “CMOs in New York of companies having keyword SaaS with 50 to 100 employees and revenue of less than $10M,”

The best part, any unused credits you have will be rolled over to the next month’s quota.

Coming to the outreach part, you can create multiple personalised cold email sequences.

You can also use the AI Sequence Copilot to build them for you based on inputs like business goals, offers, and target audience.

Where Saleshandy truly outshines Apollo.io is in scalability and deliverability.

  • You get an entire deliverability stack with email warm-up, Sequence Score, Inbox Placement Testing, AI Bounce Guard (not available in Apollo), and more.
  • Scalability-wise, you can connect unlimited email accounts to scale your outreach and also invite as many team members as you want to help collaborate and manage campaigns.
  • If you are a lead generation agency, you can add all your clients and manage their outreach campaigns in Saleshandy.

All this at no additional cost!

Overall, Saleshandy is a scalable and cost-effective alternative to Apollo.io, ideal for businesses and lead generation agencies of all sizes.

2. Klenty

Klenty is a sales engagement platform that is very similar to Apollo.io.

It has its own database, supports multichannel outreach, and gives you tools to automate your entire outbound process.

  • Database Size: 220M+ contacts
  • Compliance: SOC II, GDPR, HIPAA

Compared to Apollo.io, Klenty has a very flexible and cost-effective pricing structure.

You can opt for cold-email-only plans starting at $50/month.

These plans let you add unlimited email accounts (from a single domain) and invite unlimited team members at no additional charge.

Multichannel plans, on the other hand, start at $70/user/month and include full email, call, and LinkedIn cadences along with CRM sync and automation features.

So, if you need an Apollo.io alternative that gives you flexible pricing, unlimited email accounts, and multichannel outreach in one platform, Klenty is worth considering.

3. ZoomInfo

ZoomInfo is best suited for enterprises that need very detailed information about their prospects and target accounts.

You get access to rich firmographic, technographic, and intent data, plus an advanced search to find the exact contacts you need.

ZoomInfo integrates with major CRMs and marketing platforms, making it easy to keep your data updated across your tech stack.

It’s a strong option if your priority is depth and accuracy of data at scale, especially for larger teams with more complex sales processes.
